This section includes the draft Page 1+ Physical Resource Sharing Statement of Participation as well as a summary of how decisions are made and communicated regarding resource sharing among Ontario colleges using Alma.
The Resource Sharing Working Group was dissolved after the implementation of physical resource sharing among Ontario colleges using Alma. College Libraries Ontario and the Page 1+ Steering Committee have opted to forgo the creation of a new Resource Sharing Steering Committee due to limited staff capacity among the colleges. Instead, the following processes and communication channels will be used to help the colleges make decisions regarding resource sharing going forward.
Identify Need: OCLS will regularly review new releases, conduct research, and seek feedback from the colleges to see if workflows/configurations can be improved.
Test: OCLS and a small group of colleges will test configurations and workflows if needed.
Discuss: OCLS will notify colleges about the proposed change and seek feedback in the Page 1+ Discussion Forum, Study Group, and Systems Listserv. If further discussion is warranted, OCLS will hold a special meeting to discuss the configurations.
Change: If there is interest in the change, OCLS will make the change in the NZ and distribute and/or update workflow documentation.
Communicate: OCLS will then share a notification on the Page 1+ Discussion Forum, Study Group, and the Systems Listserv that the change has been made and the documentation has been updated.
Track Changes: Documentation updates will be tracked at the end of the document. OCLS will track distributed configurations in the Page 1+ Alma and Primo VE Guide: LibGuides: Page 1+ Alma & Primo Guide: Network Zone.
Identify Initial Partners: A survey will be completed to identify initial partners. Colleges can send a note to the OCLS Help Desk (helpdesk@ocls.ca) if they would like to request the addition of a new partner thereafter. Colleges should encourage potential partners to reach out to OCLS so that OCLS can work directly with the partner.
Partner Profile: Once a partnership is decided on, OCLS will work with the partner to identify the best approach for adding the partner profile (e.g. copy the partner from the RSD, create a partner profile manually, add an e-mail partner).
Discuss: OCLS will then seek input from colleges on whether to add the partner to an existing rota template or create a new template. OCLS will share information about the partner and seek feedback using the the Page 1+ Discussion Forum, Systems Listserv, Study Group, and/or a special meeting if further discussion is warranted.
Distribute: Once OCLS has received feedback from colleges, OCLS will add and distribute the partner for networked colleges, and provide instructions and work with colleges outside of the networked environment to add the partner in their IZ.
Communicate: OCLS will send a notification through the Page 1+ Discussion Forum, Systems Listserv, and Study Group along with any additional instructions for changes that colleges in the networked environment will need to make in their IZ.
Track: OCLS will update the configuration documentation in the Page 1+ Alma and Primo VE Guide and maintain a list of partners in the Page 1+ Alma and Primo VE Guide.
