This section includes sample staff workflows for resource sharing in Alma developed by the RSWG.

Workflow Demonstrations

Resource sharing workflows for processing borrowing requests were demonstrated at the following implementation meetings:

In this recording, Rebecca Pearson demonstrates the borrowing request process using an existing resource sharing library, and Dominica Popielski demonstrates the lending request process using a virtual resource sharing library.

The borrowing workflow is demonstrated at 32:00 –  48:30 and 54:30 – 1:04:30 minutes.

  1. Searching for an item and placing a request in Primo VE
  2. Creating a request from a network repository search in Alma
  3. Changing your location to the virtual resource sharing library to process the borrowing request
  4. Canceled by staff status
  5. Roles required for processing resource sharing requests
  6. Rejecting partners on the rota
  7. Information accessible from the more details page (Edit) for a request
  8. Sending a query to patron
  9. Approve, Cancel, or Reject a request
  10. Sending a request to the partner
  11. Receiving items from the Receiving Items page and the more actions menu from the Borrowing Requests list
  12. Receiving an item at the Virtual Resource Sharing Library through the Received Items page with the Shipping slip and the Borrowing Requests list
  13. Using temporary barcodes or the barcode of the book
  14. Adding internal notes
  15. Request and loan due dates
  16. Changing a due date when receiving an item
  17. Resource Sharing Receive Slip Letter
  18. Using General Messages to communicate with other libraries at the institution about where the item needs to be shipped to
  19. Sending a General Message to a partner
  20. Scanning item in at the circulation desk of the pickup location
  21. Hold shelf notification to patron
  22. Checking out the item to the requesting patron
  23. How patrons can view requests in their Library Card in Primo VE

The lending request workflow is demonstrated at 37:00 – 52:45 and 1:15:00 – 1:17:30 minutes.

The recordings demonstrate the following steps:

  1. Viewing requests on the Tasks widget and pick from shelf
  2. Using General Notes to specify the pickup location for a request if your institution has multiple locations
  3. Viewing requests in the Lending Requests list and Tasks widget
  4. General Messages, Notes, and Alerts
  5. Viewing the request details
  6. Actions available from the more actions menu, including rejecting a request, shipping through Ship item physically, and using Will Supply to notify the partner that the request will be filled
  7. Switching your location to the virtual resource sharing library or the circulation desk that is attached to your resource sharing library to process request
  8. Roles for working with resource sharing requests
  9. Using move requests to send items temporarily to the resource sharing library or assigning requests to staff if there isn’t a staff member assigned the required roles for working with resource sharing requests at each library location
  10. Pick from Shelf
  11. Selecting Ship item physically from the Lending Requests page or Shipping Items page
  12. Avoid the Scan In Items page when processing requests
  13. Shipping items
  14. Overriding terms of use (e.g. due date)
  15. Sending a General Message or adding notes to a request (e.g. to specify to a partner that they send items to a location other than the resource sharing library)
  16. Receiving General Messages
  17. Returning items through the Manage Item Returns and the Scan in Items pages

The following actions were demonstrated at the Page 1+ Resource Sharing Soft Launch Preparation meeting:

  1. Borrowing resource sharing request statuses and request history (at 42:45 – 48:50 minutes)
  2. Partner notes and general messages (at 48:50 – 50:45 minutes)
  3. Faceting lending requests lists by status/process type (at 51:00 – 52:00 minutes)
  4. Roles required for placing requests in Alma (at 52:30 – 56:00 minutes)

2024-07-10: Page 1+ Resource Sharing Soft Launch Preparation

This recording includes an explanation of the settings which determine the loan length for resource sharing requests (at 23:00 - 28:00 minutes).

2024-07-31: Page 1+ Study Group and Resource Sharing Check In - Resource Sharing Implementation Project - CLO Collaboration Space

This recording includes a demonstration of the issue of patrons placing resource sharing requests by navigating to the record in Primo VE from a database for items that would otherwise not be available for resource sharing (at 41:45 – 45:00 minutes).
